How are projects counted against my plan?

Only active projects count — anything in New, In Progress, Pending or Completed. Once you archive a project it stays viewable by the customer forever and stops counting toward your limit.

Can my whole crew use it?

Yes. Business plans include multiple employee accounts with role-based permissions, and customer portal users are unlimited on every plan.
